How do I add Canvas students as alt-hosts for Zoom meetings hosted in Canvas?


Before Starting

For some courses,  Canvas instructors may require users with a student role in a Canvas course to serve as an alternate host for Zoom meetings for the purposes of serving as learning assistants, peer leaders, or group leaders. While Zoom alt-hosts are automatically provisioned from the list of instructors in Canvas, you may create your meetings outside of Canvas, adding alt-hosts, then import the meetings in Zoom. Please be sure your students have created their Zoom accounts at netid.rutgers.edu.

Course instructor

Follow the steps below to allow your learning assistants who have a student role in your course to serve as hosts for your sessions. It also allows for students in your course to see the schedule Zoom meeting on their Dashboard, course calendar, and/or notifications.

  1. Log into the Rutgers Zoom Web Portal.
  2. Create a meeting.
  3. For alt hosts, add the learning assistants Zoom ID which is their netid@rutgers.edu.
  4. In Canvas, click Zoom in your course navigation.
  5. Click the 3 dots in the upper right.
  6. Click Import meeting.
  7. Copy the meeting ID from the Rutgers Zoom Web Portal.

Learning Assistant/Canvas Student

Anyone with student roles in Canvas cannot create or start meetings. This is set by the Rutgers Zoom admins. Learning assistants will not see the Zoom meeting information listed in their Upcoming Meeting in the Rutgers Zoom Web Portal so they must copy the meeting link from Canvas. They must be logged into the Rutgers Zoom Web Portal so that Zoom will recognize their alt-host status.

When it is time to start the meeting, your learning assistants should:
  1. In Canvas, click Zoom in your course navigation.
  2. Right-click on JOIN for the meeting they were assigned as an alt-host.
  3. Using the mouse menu, copy the URL for the meeting. This URL includes the meeting password.
  4. Log into the Rutgers Zoom Web Portal.
  5. Open a new tab in the same browser.
  6. Paste the meeting link into the browser address bar and press Enter.
  7. The learning assistant will be prompted to launch Zoom desktop app (preferred) or they can cancel and join from the browser.
